Import and Export


Import

Printing management systems are not separate modules, it is important in terms of their operation and statistics that logged data be suitable for alignment with the identifiers of other systems. Print jobs come from an information technology environment, employees’ corporate access cards might be managed in a security system database, while the employee hierarchy might be mapped in company management and employment software. To use these in printing management the system requires import data occurring at regular intervals or updated online. Import data can come from known user environments (for instance, network domain controller database or ERP systems), or from other data sources enabling users’ and their environments’ individual identification and personalization.
 
The PRIMON Printing Management System allows for data to be maintained in the system’s own database or online, at the source location (e.g. users’ printing authority and limits can be managed in the Active Directory (hereafter: AD). A custom updating module has been installed for the AD connection, via which the administrator can map and manage the handled hierarchy. He/she need only set the decision points (raw data), as the automated system will apply and track the settings from then on.





Export

Any monitoring and management system is only worth as much as the amount of usable data it can provide its user. Accordingly, the PRIMON Printing Management System contains a general export module, which makes it possible for users to extract the most complete statistical and detailed data possible. The export module can produce all the data displayed in commonly used formats in office applications (e.g. Excel, Word, HTML, PDF, etc.) in accord with all the set filters. One of its unique features is that it is not necessary to run predefined queries, the list appropriate to current sorting and collecting criteria appearing on the user’s screen right at that moment can likewise be exported.

The lists’ criteria can be saved, and upon request exporting will be automatically repeated according to a set frequency, with even an email notification sent as a file attachment to the requester. This enables easy compilation of monthly metering reports for devices (for billing monitoring vis-à-vis the print service provider), or, say, the most expensive print job of a given period (for managers of employee hierarchy teams). There are no constraints, the system can also export the detailed or statistical list displayed on the monitor. Naturally, there are pre-defined reports, designed in line with general user requests.
